Accommodation Tests (Approvals)
Q. How far in advance do I need to provide the test?
Q. What is an accommodation test? What is the difference between a missed test and an accommodations test?
Q. Accommodation students receive extra time in the Test Centre but my students are required to come to class after for a lecture. What do I do in this situation?
A. There may be situations where students will need to start their test earlier to ensure they receive their allotted extra time (time and a half). Students may speak to Faculty directly about arranging a time that works for both the Faculty and student prior to the test date.
Q. I have multiple accommodation students writing the same test. Can I just send one test?
A. Yes, you can send one test but please list all the names of students writing the test. Also, please provide all the necessary instructions for the test.
Q. I am not sure if I am supposed to approve all accommodation test requests that come to my email. What requests should I approve?
A. It is the College’s duty to accommodate students with disabilities; therefore their requests do not require approval. Faculty should receive Letter of Accommodations indicating the approved accommodations and that they have registered with the Centre for Access. The student should be writing at the same scheduled time as the rest of the class, unless prior arrangements have been made with the Faculty.
Q. If one of my students does not show for a scheduled accommodations test in the Test Centre, what happens?
A. Test Centre staff will email Faculty to inform you that your student did not show for their scheduled test. This accommodation test now becomes a missed test. The student needs to seek approval from Faculty for a missed test and make arrangements regarding the date and time before submitting another test request.
Q. Do I have to provide 5 business days when sending a copy of the test to the Test Centre?
A. No. For accommodation tests, the Test Centre requests 3 business days in advance to make arrangements for space concerns, adaptive software, etc. Students with accommodations however are required to submit the test request 5 business days in advance.

A. All students must have Faculty approval prior to booking the test.
Q. I am not sure if I am supposed to approve all missed test requests that come to my email. What requests should I approve?
A. Testing Services follow Georgian College Policies and Procedures for Test and Exam Regulations, which outlines only documented medical/family emergency situations or conflicting religious observance schedules are grounds for special consideration. Requests for adjustments to prescribed examination or test dates must be made before the examination of test dates. As the Test Centre is not aware of the reasons for a missed test request, approval is granted by the Faculty/Co-ordinator. You have the discretion to approve each request. Test Centres only allow students to write who have been approved by Faculty.
Q. If one of my students does not show for a scheduled missed test in the Test Centre, what happens?
A. Test Centre staff will email Faculty to inform you that your student did not show for their scheduled test. It is up to the Faculty whether or not multiple approvals are given for missed test requests from students who do not show up for their test reservations in the Test Centre.
Q. After I have approved the missed test, where do I send the student to book their test? ?
A. Please direct students to the Georgian College website, where they can find the electronic test Request Form under “Testing Services”. Please do not send students to the Test Centre.

A. No, for missed tests we request to have the test at least 1 business day in advance. Seats will be filled on a first come, first served basis during dedicated times and if a seat is not available, the next available seat on the next dedicated missed testing date will be reserved.
Q. I am a Laurentian professor and only use my Laurentian email address ?
A. All Faculty employed by the college are assigned a Georgian email account. For consistency purposes, Test Centre staff can only communicate via these Georgian emails.
Q. I am a Part-time Faculty and hardly check my Georgian email address and continue to miss test requests that are sent to me. Why can’t the requests be sent to my personal email address?
A. For consistency purposes, Test Centre staff can only communicate via Georgian emails.
Q. I receive multiple reminder emails saying I have not sent the test when I know I have. Why is this happening?
A. Test Centre staff work hard to ensure that all requests are received and processed correctly and strive to ensure that all tests are received before the test date. Faculty are sent reminder emails if the test has not been received 24 hours before the scheduled test. Faculty are also sent confirmation emails when the test has been received. There are times when an additional email may be required upon the initial receipt of the test request, due to missing information ie. Dates or times that are not congruent with class testing times. There may also be questions about the test itself if it appears to be missing important information.
Q. How quickly will I receive a completed test from the Test Centre?
A. Tests will be returned via Georgian email within a 24 hour timeframe. The intention is to return all completed tests as soon as possible, well before the 24 hour period. In Orillia and Owen Sound, hard copies will be delivered within 2 business days and in Barrie (B121), Faculty can pick up their tests within 5 business days.
Q. When my students write in the Test Centre, I do not want the Test Centre staff to print my test double sided. What do I do?
A. When you reply to the test request, please specify this type of information in the Special Instructions section. Test Centre staff will not print double sided if you have instructed them to print your test single sided.
Q. When I receive an email from Testing Services with my test attached, I do not want it to print double sided. What do I do?
A. Many printers default to double sided. If you want to print single sided, follow these instructions: Click “file”, “print”, “properties”, under 2-sided printing, click on the drop down menu and select “1-sided print”.
Q. I want to save paper and since the test is being emailed back to me anyways, can I have the student complete the test on the computer and then emailed back to me to eliminate printing the test twice?
A. Yes. If you do not want the Test Centre staff to print off the test, please make this clear when replying to the Test Request. Please ensure you send the test to the Test Centre as a Word document. The Test Centre staff will save your test to a jump drive and the student can complete the test on the computer. Once the student has completed the test, it will be emailed back to you in as a Word document. No printing needed at all and the test will be deleted from the jump drive after it has been emailed to you.
Q. What if the materials of my test are too large to scan to email or there are required supporting documents?
A. If your test materials are too large to scan, bring your materials to the Test Centre. Test Centre staff are aware that some materials may be difficult to scan and need to be delivered to the Test Centre. These materials will also be returned to Faculty with the completed test.
Testing Clarification/Communication (Students/Faculty)
Q. If I give specific information to the students writing in the classroom, what do I do about my students writing in the Test Centre to ensure they receive the same information?
A. Accommodation students writing in the Test Centre need to be privy to the same information that may be given to students writing in the classroom. All classrooms have telephones in the room that can be used in times like these. Simply call the Test Centre and tell the staff the information to relay to the student OR request for a staff member to relieve you in the classroom, so you can come to the Test Centre to give the information to your students directly. Alternately, you can also send the information/request for relief by emailing the Test Centre (see contact information for extensions and emails of specific test centre locations – http://www.georgianc.on.ca/accessibility/test-centres/test-centres-contact-info/).
Q. What happens if my student who is writing in the Test Centre needs clarification or has a question about the test?
A. Often times students need clarification for a question on a test. Test Centre staff may walk with the student to the classroom to seek assistance. Alternately, the student may keep writing in the Test Centre while we try to phone/email/find you on campus. If you are in the classroom where the class is testing, Test Centre staff may “relieve” you so you can come to the Test Centre and speak with the student directly. If the Faculty cannot be contacted, students are advised to indicate their query in the margin beside the question.
Q. While in the classroom I notice that many students have the same problem/question with the test/exam. What can I do to give this same information to my students writing in the Test Centre?

Confidentiality and Security Concerns
Q. I am concerned about the integrity of my tests being sent through email. How does the Test Centre staff maintain confidentiality and security of tests?
A. Test Centre staff ensures that the integrity and confidentiality of tests is maintained at all times. All tests are securely locked in the Test Centre. All tests that are sent via email are deleted once they are printed. Test Centre staff in Orillia and Owen Sound will only deliver tests to your secure mailboxes. Test Centre staff in Barrie keep all tests locked up for pick up in Room B121.
